Description

Bulk GRV Import Wizard --- User Manual

Application: Canofy
Workspace: Custom Mil Power
Source Manual: Version 1.1
Purpose: Create multiple CGRNs from a single Bulk GRV Excel
export.

1. Overview

The Bulk GRV Import Wizard allows users to upload one consolidated
Bulk GRV .xlsx file exported from Priority ERP, validate its
Documents and item lines against Canofy, select an Insurance Policy, and
create one CGRN for each selected Document.

Core rule: one GRV Document produces one CGRN when selected and
successfully processed.

3. Terminology

Term Meaning

GRV Goods Receipt Voucher exported from
Priority ERP.

Document One GRV number in the Excel file;
it may contain one or many item
lines.

CGRN Customer Goods Receipt Note created
in Canofy.

BOE Bill of Entry. The Document must be
linked to a BOE that exists in
Canofy.

Lot Number Lot record in Canofy. Each Excel
item line must match its Lot Number
exactly.

Product Master Canofy product/item record
containing the item and lot-related
information.

Insurance Policy Policy selected in Step 2 and
applied to every CGRN in that run.

Bulk GRV File Consolidated Priority ERP .xlsx
export using the DataSheet
worksheet.

Error Report Step 2 report listing problematic
lines and reasons.

Final Report Step 4 report listing the result of
every selected Document.

4. Before You Begin

Use this checklist before starting:

  • Use the original Bulk GRV .xlsx exported from Priority ERP.
  • The worksheet is named exactly DataSheet.
  • Do not add, remove, rename, or move columns.
  • Required BOEs already exist in Canofy.
  • Product Masters and Lot Numbers are correct.
  • Lot Numbers match the Excel values exactly.
  • You know the Insurance Policy to use.
  • You have permission to create CGRNs.

Important: The Bulk GRV wizard uses a fixed column layout. Unlike
the single GRV-to-CGRN wizard, there is no Mapping Profile to select.

5. Opening the Wizard

  1. Log in to Canofy.
  2. Open the Custom Mil Power workspace.
  3. Under PUBLIC, select Custom Mil Power.
  4. In Quick Access, select Bulk GRV Import Wizard.
Canofy
  └── Custom Mil Power
       └── Quick Access
            └── Bulk GRV Import Wizard

Do not confuse this with GRV to CGRN Import Wizard or Inventory
Move Import Wizard
. The Bulk GRV wizard is intended for multiple
Documents in one file.

6. Step 1 --- Upload

Goal

Upload the Bulk GRV Excel file.

Procedure

  1. Click Choose .xlsx File.
  2. Select My Device.
  3. Choose the Bulk GRV .xlsx file.
  4. Drag-and-drop can also be used.
  5. Check the file name and size.
  6. Keep Private selected.
  7. Click Upload.
  8. Wait for the green tick.
  9. Click Upload & Parse →.

Privacy rule

Keep the uploaded file private.

Do not click Set all public. The Bulk GRV file contains business
data and should remain private.

What happens next?

The wizard reads the Excel file, groups rows by Document, and opens Step
2.

CR26001106 → 1 CGRN
CR26001107 → 1 CGRN

Resume an existing import

If an import was left incomplete, use Resume an existing import
instead of uploading the same file again. The manual states that
progress can be resumed without losing the existing processing state.

7. Step 2 --- Parse & Group Preview

Goal

Review the parsed data, choose the Insurance Policy, and select the
Documents to process.

No CGRN is created at this stage.

7.1 Summary Cards

The top of Step 2 displays:

Card Meaning

Total Documents Number of GRV Documents found.
Total Lines Total item lines in the file.
Valid Lines that passed validation.
Errors Lines with a problem.
Unassigned Lines that could not be linked to a BOE.

A healthy example is:

Total Documents : 8
Total Lines : 78
Valid : 78
Errors : 0
Unassigned : 0

The summary also indicates how many Documents are ready, blocked,
unassigned, and selected.

Preferred validation result: Valid = Total Lines and
Errors = 0.

8. Insurance Policy

The Insurance Policy is mandatory.

Procedure

  1. Click the Insurance Policy field.
  2. Type part of the policy number.
  3. Select the correct policy.
  4. Confirm that the policy appears in the field.

Important rule

The selected policy applies to every CGRN created in the run.

             Insurance Policy
                    │
        ┌───────────┼───────────┐
        ▼ ▼ ▼
      CGRN 1 CGRN 2 CGRN N

If different Documents require different policies, process them in
separate runs.

9. Document Selection

Selection controls

Control Function

Select All Ready Selects every ready Document with
no errors.

Deselect All Clears all selections.

Download Error Report Downloads problem lines and
reasons.

Next: Start Processing → Starts CGRN creation for selected
Documents.

← Back Returns to Step 1.

The Error Report control is disabled when there are no errors and the
interface displays ✓ No errors.

10. Document List

The Step 2 table contains:

Column Meaning

Include Whether the Document will be processed.
Document No GRV Document number.
BOE No Bill of Entry number.
BOE Resolved Whether the BOE was found in Canofy.
Lines Number of item lines.
Valid / Errors Valid and problematic line counts.
Lot Matched Number of lines matching Canofy Lot Numbers.
Status Overall readiness of the Document.

11. Document Statuses

Pending

All lines are valid and the Document is ready.

Action: Keep selected if it should be processed.

Pending — Lot Issues

At least one line does not have an exact Lot Number match in Canofy.

Action:

  1. Download the Error Report.
  2. Identify the BOE, item, and Lot Number.
  3. Correct the relevant Canofy data.
  4. Upload the Excel again.
  5. Confirm the Document becomes Pending.

The manual notes that although this status can be selected, it will most
likely fail during Step 4.

Blocked — BOE Not Found

The BOE in the Excel file was not found in Canofy, or the BOE number
differs.

The selection checkbox is disabled.

Action: Correct/create the BOE or correct its number in Canofy, then
upload the Excel again.

(Unassigned)

A line could not be linked to a BOE.

Action: Check the BOE number in the Excel file and Canofy. If the
Excel value is missing, obtain a corrected Priority ERP export.

12. Important Validation Rule

One bad line affects the entire Document because one CGRN is created for
the whole Document.

└── Line 72 ✓

          ↓

Entire Document
Pending — Lot Issues

The wizard does not edit individual lines.

Golden rule: Fix the data in Canofy, not in the wizard.

13. Start Processing

Before clicking Next: Start Processing →:

  • Insurance Policy is selected.
  • Intended Documents are ticked.
  • Error Report has been reviewed if errors exist.
  • Selected Document count is correct.

Then click Next: Start Processing →.

14. Step 3 --- Background Processing

Goal

Allow the wizard to create CGRNs.

The wizard creates one CGRN for each selected Document, one Document at
a time.

Selected Documents
       │
       ▼
Document 1 → CGRN 1
       │
       ▼
Document 2 → CGRN 2
       │
       ▼
Document 3 → CGRN 3
       │
       ▼
       ...

The progress line shows the current Document, for example:

Processing Document 1 of 8...

Each Document starts as Pending and changes as processing progresses.
The CGRN column is populated when a CGRN is available.

During processing

Do: - Wait for completion. - Allow several minutes for large
files. - Resume later if necessary.

Do not: - Upload the same file again while processing is running.

Resume

The manual states that it is safe to leave the process and return later.
Open the wizard and select Resume an existing import.

15. Step 4 --- Results

Goal

Review what was created and retry failed Documents.

The Results page provides:

  • Created count
  • Error count
  • CGRN number
  • Error message
  • Retry controls
  • Final Report

Controls

Button Function

Retry All Failed Reprocesses only Documents with Error status.
Retry Reprocesses one failed Document.
Download Final Report Downloads the result report for the run.
Next → Moves to Step 5.

Retry All Failed is disabled when there are no errors.

16. Understanding Results

Created

A CGRN exists for the Document.

Document
   ↓
Created
   ↓
CGRN number shown

Error

A problem occurred while creating the CGRN.

Error
  ↓
Read Error Message
  ↓
Fix Canofy data
  ↓
Retry

Duplicate

A CGRN already existed for that Document.

The wizard does not create another copy. It displays the existing CGRN
number.

If every row shows Duplicate, verify whether the same file was imported
previously.

17. Step 4 Error Handling

For a Document with Error status:

  1. Read the Error Message.
  2. Fix the underlying data in Canofy.
  3. Return to the wizard.
  4. Click Retry on that row or Retry All Failed.
  5. Confirm that the status changes to Created and a CGRN number is
    shown.

For Step 4 errors, the manual states that the Excel file does not need
to be uploaded again. Fix the Canofy data and retry.

18. Step 5 --- Done

Goal

Open and verify the generated CGRNs.

The page displays:

  • Overall success message.
  • Document-to-CGRN mapping.
  • Clickable CGRN numbers.
  • Start New Import.

Example:

✓ 8 of 8 Documents created successfully

CR26001105 → CGRN-2026-000060
CR26001106 → CGRN-2026-000061
CR26001107 → CGRN-2026-000062
...

Verify the CGRNs

Click a CGRN number. It opens in a new browser tab.

Check:

  • Item details
  • Quantities
  • Lot Numbers
  • Insurance Policy

Documents that were marked Duplicate in Step 4 are also listed here with
the existing CGRN.

                 │
                 ▼
               Retry

20. Fixing Lot Number Issues

A Lot Number must match exactly.

Examples:

Excel Canofy Result
LOT001 LOT001 ✓
LOT001 LOT 001 ✗
LOT001 lot001 ✗
LOT001 LOT0010 ✗
LOT001 LOT01 ✗

Differences such as extra spaces, missing leading zeros, different
capitalization, or incorrect characters can cause a mismatch.

Procedure

  1. Download the Error Report.
  2. Note the BOE, item, and Lot Number.
  3. Open the BOE in Canofy.
  4. Check the BOE item lines.
  5. Compare the Lot Number with the Excel line.
  6. Open the relevant Product Master.
  7. Check item and lot information.
  8. Correct the Canofy data.
  9. Save.
  10. Upload the same original Excel file again.
  11. Confirm:
    • Status = Pending
    • Errors = 0
    • Lot Matched = Lines

Do not modify Excel columns to force a Lot Number match. If the
Priority ERP export itself is incorrect, obtain a corrected export.

21. Fixing Blocked — BOE Not Found

Procedure

  1. Note the BOE number shown in Step 2.
  2. Search for the BOE in Canofy.
  3. If it does not exist, create or complete it.
  4. If it exists with a different number, correct the relevant data so
    it matches the Excel value.
  5. Save.
  6. Upload the Excel again.

                │
                ▼
          Upload again

22. Fixing Unassigned Lines

Unassigned lines cannot be linked to a BOE.

Check

  1. BOE No in the Excel row.
  2. Matching BOE in Canofy.
  3. Exact BOE number.
  4. If BOE No is missing in Excel, obtain a corrected Priority ERP
    export.
  5. Upload again.

23. Troubleshooting

24. Best Practices

Input

  • Always use the original Priority ERP export.
  • Never rename DataSheet.
  • Never change the column layout.

Master Data

Before upload, ensure:

BOE
 ├── Correct BOE number
 ├── Correct item lines
 └── Correct Lot Numbers

             ▼
       Product Master
             │
             ▼
       Ready for Import

Processing

  • Select the correct Insurance Policy.
  • Remember that one policy applies to the whole run.
  • Download the Error Report whenever errors exist.
  • Fix problems in Canofy rather than trying to modify the wizard input
    structure.
  • Do not upload the same file while processing is active.

Verification

After every run:

  • Download and retain the Final Report.
  • Open a few CGRNs.
  • Verify items.
  • Verify quantities.
  • Verify Lot Numbers.
  • Verify Insurance Policy.
